Central Christian Church
CACS Department Meeting Minutes
August 6, 2007
6:30 pm in the Disciple Room

Present: Robert Bushey, Judy Ford, Andy Fulk, Melinda Hawbaker, Julie Martin, Penny Rutherford, Sue Simcox, Donna Strong, Bruce Williams, Kevin Wilmot

Play-Day / All-Church Picnic on Sunday, September 9th

Melinda reported on the joint meeting with the Fellowship Subcommittee. Sue and Bruce attended as well. Concerns of the fellowship committee include preserving the picnic environment, may not be enough shady space for games, and sharing behavioral expectations of all children, including our own church members. They also suggested holding the games away from the eating area, perhaps on the playground. During this meeting we decided to anticipate 200 to 250 attendees, including the congregation and our neighbors. In the event of inclement weather, we could hold this event in the Great Hall and Disciple Room, which could house the games. As this meeting concluded, we agreed that the role of CACS would be to coordinate and staff the games, design and distribute the flyers throughout our neighborhood, and arrange for some “intentional hosts” to help our neighbors feel welcome.

Before we divided up responsibilities for the games, etc., concerns were raised about the following:

1) Do we have enough tables?
2) Should we block off part of the parking lot?
3) Will we provide games for the entire time – probably 12 noon to 1:30 pm?
4) How will the Congregational meeting be conducted so that we don’t exclude our guests?
5) Who will staff the check-in table, and will nametags be provided?

The group agreed upon these assignments to operate the Play-Day portion of this event, and we’d like to conduct the games in the shady area of the south side of our church.

Bruce – Bounce House & Face Painting
Kevin & Andy – Basketball (shoot-outs every half-hour or so with a prize such as pop)
Donna & Judy – Cake Walk (although with cookies or cupcakes instead)
Robert – Dunk Tank (from JFL Football)
Melinda – Flyer (“You’re invited”) design (approx. 300) & distribution (a suggestion was made to ask Kevin Otis to help)
(boundaries: Eldorado, Wood, College, & Haworth)
Julie – seek input and assistance from the Elders about serving as “intentional hosts” for our guests

Robert confirmed we have a $700 budget for games, and he also suggested we visit the adult Sunday School classes to promote this event and make sure everyone knows it’s combined this year.

School Registration

Robert shared that District #61 will not need Central to host a school registration for children in our neighborhood. He did report, however, that Project Success has asked us to consider collecting school supplies for under-resourced students. The group agreed to provide a supply cart for our congregation on Sunday, August 19th to help with the large distribution of supplies by Project Success the next day.

Good Samaritan Inn

Judy reported that our committee of five to eight people continues to prepare and serve weekday meals on the second Monday of every month. She commented the Good Samaritan has been extremely hot during the summer months, which is a concern of other churches providing meals as well.

Our Hunger Relief Task Force will prepare and serve meals on these remaining Saturdays this year:

August 18
October 6
December 15

Peace & Justice Task Force

Bruce reported the task force has scheduled another Public Education Panel Discussion for Sunday, September 16th from 4:00 to 6:00 pm. This discussion will specifically target the inequities in school funding throughout Illinois.

The upcoming DVD Series for this year is ready to go, with the first film scheduled for Sunday, September 23rd.

Decatur Quilt Guild Fundraising Opportunity
Melinda shared that Sue contacted her recently about an opportunity (suggested to her by Wanda Webb) to possibly raise more money for Dove. Sue and Wanda thought we might wish to consider completing an application for the Quilt Guild’s Charity Quilt, raffle it off, and donate the money to Dove’s Anna B. Millikin Home. The group agreed to pursue this opportunity and asked Melinda to complete the application. While on the topic of Dove, Sue reported the fundraising goal for the Anna B. Millikin Home has been met and that renovations will soon be completed.

One Church One School

Robert shared a draft of a new after school program designed for Hope Academy since the former program, Safety Net, has ended. This after school ministry will serve up to thirty 2nd – 8th grade students with need for academic help on Tuesdays and Thursdays from 3:40 to 5:00 pm. Volunteers from Central, Prairie Avenue, and Crestview Christian Churches will provide homework assistance between 4:00 and 5:00 pm. The goal is to begin this project next month, and Robert plans to submit a grant application to the Decatur Public Schools Foundation for funding to pay someone to coordinate this program, which will be named Hope Homework Oasis, or H2O.

Special Offerings

Robert reported that the Emergency Fund Offering collected in July is nearing $5000. Bruce asked for assistance preparing for the Reconciliation Offering to be collected on September 9th and 16th. Kevin agreed to write a letter to be mailed on September 3rd, and Penny will write an article for the Visitor by August 27th. Bruce will give the minute for mission on the 9th, and Melinda will do it on the 16th.

Next Meeting

Melinda Hawbaker, Department Chair
